VENUE RENTAL AGREEMENT
THIS VENUE RENTAL AGREEMENT ("Agreement") is made as of [Date],
BETWEEN:
[Venue Owner/Manager Name], located at [Address] ("Owner"),
AND:
[Renter Name], located at [Address] ("Renter").
1. DEFINITIONS
1.1 "Venue" means the event space known as [Venue Name], located at [Venue Address], including the following areas: [main hall, outdoor patio, kitchen, restrooms, parking area — specify].
1.2 "Event" means the [type of event: wedding, corporate event, party, conference] to be held by Renter at the Venue.
1.3 "Event Date" means [Date], from [Start Time] to [End Time], including [setup/teardown time if applicable].
1.4 "Rental Fee" means the total fee of $[Amount] for use of the Venue.
2. RENTAL TERMS
2.1 Grant. Owner grants Renter the non-exclusive right to use the Venue for the Event on the Event Date, subject to the terms of this Agreement.
2.2 Capacity. The maximum occupancy for the Venue is [Number] persons. Renter shall not exceed this limit.
2.3 Setup and Teardown. Renter may access the Venue for setup beginning at [Time] on [Date] and must complete teardown and vacate by [Time] on [Date]. Failure to vacate on time shall incur a charge of $[Amount] per hour.
2.4 Exclusive Use. During the Event, Renter shall have [exclusive/shared] use of the Venue spaces described in Section 1.1.
3. FEES AND PAYMENT
3.1 Rental Fee. The total Rental Fee is $[Amount], payable as follows: (a) Non-refundable deposit of $[Amount] due upon signing; (b) Balance of $[Amount] due [30] days before the Event Date.
3.2 Security Deposit. Renter shall pay a refundable security deposit of $[Amount] at least [14] days before the Event. The deposit shall be returned within [14] days after the Event, less deductions for damages, excessive cleaning, or overtime.
3.3 Additional Fees. The following services, if requested, shall incur additional charges: (a) Audio/visual equipment: $[Amount]; (b) Additional tables/chairs: $[Amount]; (c) Parking attendant: $[Amount]; (d) Overtime beyond reserved hours: $[Amount]/hour; (e) Security personnel: $[Amount].

4. CANCELLATION POLICY
4.1 Cancellation by Renter: (a) More than [90] days before Event: full refund minus deposit; (b) [60-90] days: [50]% refund of balance; (c) [30-60] days: [25]% refund; (d) Less than [30] days: no refund.
4.2 Owner may cancel due to: (a) force majeure; (b) Venue becoming unsafe; (c) Renter's breach. In such cases, Owner shall refund all amounts paid.
5. VENUE RULES AND RESTRICTIONS
5.1 Alcohol. [Alcohol is/is not permitted]. If permitted, Renter must: (a) obtain all required permits and licenses; (b) use a licensed bartender; (c) ensure no service to minors; (d) cease alcohol service at least [1] hour before Event end.
5.2 Noise. Amplified music must end by [Time]. Renter shall comply with all local noise ordinances.
5.3 Decorations. Renter may decorate the Venue subject to the following restrictions: (a) no nails, screws, tape, or adhesives on walls; (b) no confetti, glitter, or rice; (c) candles must be enclosed in holders; (d) all decorations must be removed during teardown.
5.4 Smoking. Smoking is prohibited inside the Venue. Designated outdoor smoking areas: [specify].
5.5 Catering. Renter may use [Owner's preferred caterers only / any licensed caterer]. All caterers must provide proof of insurance and food handling certification.
5.6 Animals. Animals are [not permitted / permitted with prior approval], except service animals as required by law.
6. RENTER'S OBLIGATIONS
6.1 Insurance. Renter shall obtain event liability insurance with minimum coverage of $[1,000,000] naming Owner as additional insured. Proof of insurance must be provided at least [14] days before the Event.
6.2 Permits. Renter is responsible for obtaining all necessary permits, licenses, and approvals for the Event.
6.3 Cleanup. Renter shall leave the Venue in substantially the same condition as received. Basic cleanup (removing decorations, bagging trash) is Renter's responsibility. Professional cleaning [is included / costs $Amount extra].
6.4 Supervision. Renter shall be present or designate a responsible adult during the entire Event.
7. LIABILITY AND INDEMNIFICATION
7.1 Indemnification. Renter shall indemnify and hold harmless Owner from all claims, damages, losses, and expenses arising from the Event, Renter's use of the Venue, or the acts of Renter's guests, vendors, or invitees.
7.2 Damage to Venue. Renter shall be financially responsible for any damage to the Venue, its furnishings, equipment, or grounds caused by Renter or Renter's guests. Repair costs shall be deducted from the security deposit; any excess shall be invoiced to Renter.
7.3 Personal Property. Owner shall not be liable for loss, damage, or theft of Renter's or guests' personal property.
8. OWNER'S OBLIGATIONS
8.1 Owner shall provide the Venue in clean, safe, and functional condition, including working restrooms, lighting, HVAC, and all amenities listed in Exhibit A.
8.2 Owner shall ensure the Venue complies with all applicable fire, health, and safety codes.
9. GOVERNING LAW
9.1 This Agreement shall be governed by and construed in accordance with the laws of the State of [State/Jurisdiction], without regard to its conflict of law provisions.
9.2 Any disputes arising under this Agreement shall be resolved in the courts of [County], [State], and each Party consents to the exclusive jurisdiction thereof.
10. SEVERABILITY
10.1 If any provision of this Agreement is held invalid or unenforceable, the remaining provisions shall continue in full force and effect.
11. ENTIRE AGREEMENT

13. FORCE MAJEURE
13.1 Neither Party shall be liable for failure to perform due to circumstances beyond reasonable control, including acts of God, natural disasters, war, pandemics, or government actions.
